The Office Cleaning Walkthrough Checklist

The single best predictor of a good cleaning relationship is whether the scope was written down before service started. This checklist is the tool for that: walk your office once with it, alone or with a vendor, and record the answers. Bring It to a Walkthrough

Reception and client areas

  • List every client-visible zone: entry, waiting area, reception desk, corridors
  • Note glass that shows fingerprints: entry doors, partitions, sidelights
  • Identify the surfaces clients actually touch: counters, door hardware, seating arms
  • Record the morning standard you expect: what must be true at opening time

Boardrooms and meeting rooms

  • Count meeting rooms and how often each is used
  • Note reset expectations: chairs, table surface, whiteboard, waste
  • Flag AV equipment and anything the crew should never touch or unplug

Workstations and private offices

  • Decide the desk policy: clear-desk surfaces wiped, or desks untouched entirely
  • List private offices that are restricted or locked
  • Note shared equipment areas: printers, filing, mail stations

Kitchen and breakroom

  • Record what the crew handles versus staff habits: dishes, fridge, counters
  • Note appliance fronts and high-use surfaces for regular attention
  • Decide waste and recycling handling, including pickup days

Washrooms

  • Count washrooms and fixtures; this drives frequency more than square footage
  • List consumables and who supplies them: paper, soap, liners, sanitizer
  • Note ventilation or drain issues a crew should report rather than mask

Floors and entrances

  • Map floor types room by room: carpet, tile, vinyl, polished surfaces
  • Identify entrance mats and what happens to them in winter
  • Flag known problem zones: traffic lanes, salt damage, stains, squeaky-clean expectations

Access and security

  • Record how a crew enters after hours: keys, fobs, codes, building security
  • Note alarm procedures and what happens if one is tripped
  • List lock-up expectations: lights, thermostats, specific doors
  • Confirm any building rules: service elevators, loading, shared waste rooms

Supplies and consumables

  • Decide who provides cleaning products and equipment
  • Decide who stocks washroom and kitchen consumables
  • Identify storage space available to the cleaning crew

Reporting and accountability

  • Decide how completion will be verified: per-visit reports, inspections, or trust
  • Name the person at your office who raises issues
  • Confirm who at the vendor answers, and how fast
  • Require the final scope in writing before the first clean
